About the job
The HR/Admin Assistant is responsible for supporting day-to-day HR and administrative operations at the DRC Field Office in Abyei. The role is pivotal in maintaining accurate HR records, assisting in recruitment, staff leave tracking, payroll preparation, and coordinating essential administrative services such as travel, accommodation, and inventory management.
HR Responsibilities (50%)
- Maintain organized and up-to-date personnel files and timesheets
- Support recruitment processes from application receipt to interview logistics
- Monitor contracts, leaves, absences, and assist in payroll prep
- Develop induction packs and coordinate new staff onboarding
Administrative Responsibilities (50%)
- Manage travel and accommodation bookings
- Oversee visa/work permit renewals for international staff
- Maintain and update office inventory
- Support training and general office functions (filing, mailing, copying)
- Track public holidays and liaise for scheduling changes
Required Qualifications and Skills
- Education: Diploma in HR, Business, or Public Administration
- Experience: At least 2 years in a similar HR/Admin role, ideally in an NGO or humanitarian setting
- Technical Skills: Proficient in Microsoft Office (Word, Excel, Outlook)
- Languages: Fluent in English; Arabic is an advantage
- Soft Skills: Strong communication, planning, organizational, and problem-solving skills; ability to multitask in complex and pressured environments
