Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Supply Chain Assistant – Warehouse/Fleet for our operations in our Dollo Ado Field Office.
Overall purpose of the role
Under the direct management and daily supervision of the Supply Chain Officer, the Supply Chain Assistant will support the management of stocks, supplies, assets, fleet, and Inventory within the Dollo Ado Area Office. The role involves assisting with procurement, inventory management, asset tracking, and ensuring that operational and safety procedures are consistently followed to support the smooth functioning of DRC programs
Your main duties and responsibilities will be:
Stock / Warehouse
- Under the supervision of the SCO maintain an up-to-date tracker of all DRC stock, updated daily
- Ensure that the Stock tracker is shared weekly with all staff and that requestors are kept on to date on the status of Program supplies in the Warehouse/Store
- Under the supervision of the SCO, receive stock to the DRC Warehouse / Store Rooms and ensure that stocks are correctly stored.
- Conduct regular checks of the Warehouse and Stores to ensure that stocks and supplies remain undamaged, undertake maintenance of premises where required to ensure safe storage.
- At the direction of the SCO or Area Manager, release stock from DRC Warehouses and Store-Rooms to staff, ensuring the use of appropriate documentation with Necessary Approval is Made.
- Under the supervision of the SCO and following the guidance and DRC procedures, engage and oversee Daily Workers to conduct loading/unloading of stocks and supplies
- In coordination with the Supply Chain Assistant (Procurement) and using the appropriate documentation, arrange the transport of supplies and stock to field locations.
Assets
- Under the supervision of the SCO, maintain an up-to-date tracker of all DRC assets, updated on a monthly basis.
- At the direction of the SCO or Area Manager, release assets to staff, using the appropriate documentation.
- Track all assets as per the DRC policy and Procedures, ensure all assets under staff custody, is properly documented.
- Ensure Assets available in stocks or warehouse are categorized under functional, Non-Function and Proposed disposal.
- Follow up on the maintenance and repair of broken or damaged assets and properly report.
- Ensure all assets are properly tagged and filled.
- Assist the Area Manager in planning and procurement of new assets as required.
Fleet
- Under the supervision of the SCO, plan and manage weekly fleet plans to assign vehicles to staff as required, and in-line with Area priorities
- Prepare monthly and quarterly vehicle requests and liaise with vehicle rental suppliers and contract drivers to ensure vehicle e availability
- Provide supervision and guidance to staff and contract drivers on safe driving and general safety.
- Track and follow staff movements in the field and maintain awareness of staff locations at all times.
- Ensure the fuel for Vehicles and properly documents for fuel consumption of Vehicles.
- Ensure the log sheet of the vehicles,
Premises
- Under the supervision of the SCO, conduct regular checks of DRC premises to identify maintenance and repair needs, and coordinate with the Admin to ensure that maintenance and repairs are conducted in a timely and compliant manner.
Safety & Security
- Under the guidance of the Area Manager and SCO, assist in conducting regular safety checks of DRC premises (such as checks of hibernation supplies and fire extinguishers) and coordinate with the Area Manager to ensure that safety and security needs are addressed in a timely and compliant manner.
- Ensure the warehouse fire extinguisher and first Aid kit maintained,
Procurement
- Assist as required in the procurement of goods, supplies and works, such as distribution of bid dorms to selected vendors, and data entry of bids received, as directed by the SCO.
Experience and technical competencies:
- Minimum 1 year of relevant work experience with administrative tasks, supply chain management, preferably logistics.
- Excellent IT skills, with experience in operating an ERP supply chain system preferred, and full proficiency in Microsoft Office required.
- Experience with standard procurement procedures and documentation
EDUCATION: (include certificates, licenses, etc.)
- BA degree in Logistics, Supply Chain Management, or another relevant field
LANGUAGE: (indicate Fluency level)
- Fluent Somali and good verbal and written proficiency in Somali.
- Proficiency in English
